Brian, We have over 13k City employees but we only have 100 AGOL users. Most of what I call our GIS Super Users are the only ones I have set up on AGOL. These super users create maps for their departments and make them "public" for viewing purposes which uses no license. If it needs to be limited to just a "group" or department, our GIS Super Users have an AD group created to secure the feature/map service or only the small group of users are then added to AGOL. I have yet to reach the limit on the number of licenses we have so I can't tell you what AGOL would actually do. ESRI staff please chime in here?

Currently I get a monthly list of users who have left and compare it to our AGOL list of users. I will just deactivate the users at that point.

Chris, This is super easy to convert to. We had several users and each had several maps/apps with them. Once we implemented the enterprise logins it was very simple to import a list (or in a batch mode): Once the users accepted it's super easy to "transfer ownership" of their maps/apps by selecting them all and use the "Change Owner" option: You also have the option to create the same folder structure they have: Once I moved everyone and everything over I deactivated (not delete) the old access. That is what I thought too, but they are all the same. I finally opened a ticket with support and it might be an issue where I was using a template someone gave me and it has a "group" layer. That "group" has no extents associated with it: This may be the cause. I'll keep folks posted on if this is the issue or not.

I have a similar structure right now but I didn't incorporate the _public and _secure so I will definitely add that to our best practices document. I also have what we consider "base map" data like our streets, parcels, city limits, council districts, etc. at the root level as well as having a Utilities and Custom Print Layout folder. I don't have any geoprocessing services (short of geocoder services) yet so I don't know if it would be necessary to create a department related _GP folder or one folder with all geoprocessing services? Are you using a federated service for access? Active Directory? We do and at one point the "redirect URL" got messed up in the federated service file. Our network guy had to correct it.

I'm researching how other entities organize and manage their enterprise map/feature services. Specifically I’m looking for: How do you organize and use folders on AGS? By department? By internal vs. external access? By project? By service types? How do you address potential or actual duplicate services? Do you provide Open Data map services and if yes, do you have similar map services elsewhere or try to steer your users to use the Open Data? How do you organize services that need security vs. no security? Any other useful best practice feedback is greatly appreciated!

Well . . . I goofed an did my desktop upgrade before server or SDE (bad move, I know). I have had no other issues except the python batch privilege issue. We are in the process of upgrading server and SDE now, and we are even debating about just biting the bullet and upgrade to 10.3.1!

Michael, We use the connections from a network share as opposed to where the Arcxxx software is installed and individual users have unique connections. We have a very convoluted architecture that (surprisingly) actually works well for us. The issue is in the "arcpy.ChangePrivileges_management" function. It only works for single assignment of users/roles and not batch assignment. Thanx!

Use and Constraints and tags are the required. That being said there are so many other areas that assist users with determining if what has been developed is what is needed. I like to error on the side of information overload in the description (unless I'm testing) so users can make a decision without contacting anyone. Metadata (in my eyes) keeps the calls away so I can continue "playing" with new stuff!
