Surveys from multiple portals on Survey123 App

Hi,

We've started getting users who have Surveys sitting on multiple portals (we have two portals and use ArcGIS Online).

They are un-authenticated surveys.

If the user is connected (not signed in) to the wrong portal the survey won't submit. 

Are there no details within the Survey to tell the Survey123 app which portal the survey is connected to?

Hi @PeterTQFES,

As Survey123 only supports one user being signed in at any one time, if a device has multliple surveys from different organizations, the correct organization (Connection) needs to be selected in the Settings menu, before trying to submit.

It is not possible from the survey form item itself, to change to the correct organization (Connection) automatically, as it could be possible the item is not shared with the user, is from another org or been moved, permissions have changed, or even the form item has been deleted since it was downloaded. Therefore signing into the correct organization is required at all times first, before a survey can be submitted.

Hi Phil,

Our users are signing into ArcGIS Online and our Portals.  Over time they will have surveys from Portal and ArcGIS Online on their device.  

There is no clear automatic indication with for example a user is signed into ArcGIS Online that some of the surveys will no longer work since they were previously downloaded from Portal.

We've had AGOL for a long time, but we've only recently branched out to using Portal for S123.  We're now scrambling to brand the surveys with the thumbnail to indicate their source.

Our users are also sometimes opening surveys shared to public on portal (inside our firewall).  Which adds to the confusion since they're not actually signing in.

Hi @PeterTQFES,

Understand the workflow and use case, and it makes sense. Unfortunately currently there is no way to determine in the gallery which survey is from which organization. Using different thumbnail pictures with some sort of indication is a good workaround.

We do have plans in the future to support "per user" gallery and workflows, meaning that the gallery will only show surveys for the signed in user, and if no user is signed in, only show public surveys. Also the survey database and related files for those surveys would be seperated and only available for the signed in user. This may help resolve the issues you have mentioned, however there are no current plans to implement this in a near future release.
