Hi Randy, I'm not exactly sure what your workflow is, as the description in your post is somewhat vague. I suppose you could create a web map that references secured web services, then share the web map with "everyone". In which case, the web map would be visible 'publicly' in your Portal for ArcGIS instance. Therefore, you would not need to be a named user to see and access the web map. But when an end user attempts to view the web map, the secured web services would prompt the user to provide credentials to see their content. Is this what you are looking for? Hope this helps,

However, if I only want certain people or groups in my organization to see the map, each person needs to be a named user. Is that right?" Yes, that is correct. "To keep the maps locked down so they're only accessible by the appropriate Division, I'd basically need everyone in the Department (>6,000 employees) to have their own name user accounts?" I would suggest that you discuss your requirements with your local Esri account manager to assist in addressing this requirement. Another approach you may want to consider: instead of having your Portal end users go to the Portal website to find map information products, you could aggregate your Portal content into 7 groups (one per Division). Then leverage the Group Gallery function or embed the Group into a web page used by each Division. In this way, your Portal end users would only be aware of the content in the Group that concerns them and would not even be aware of the content in the other Groups. One of the pros with Portal is that since it can sit behind the firewall, Portal is available for everyone in an organization to search and use public items (public in the sense that's it's public for everyone in the organization) without a license, but with ArcGIS Online that feature is not possible....is that correct?" Your assertion is correct. If you use ArcGIS Online, your items will have to be either shared with "everyone" - it which can there is open access, or if you want to restrict access then an ArcGIS Online named user account is required. @Adam, "I can't explain Portal for ArcGIS because I am not using it yet, but I would check before I made the assumption that it is able to be used by anyone without a login to search and use "public" items. Is "public a choice within Portal? .. IF Esri allows it, Portal installed behind your firewall could hypothetically be available to users without a login for items made "public"." Allow me to clarify. If you have Portal for ArcGIS configured in your organization, and you set a Portal item to be shared with "everyone", then yes - people within your organization (e.g., in your intranet network) should be able to access these items without requiring a named user login. Your questions: Q1) ... regarding free named users with ArcGIS Server: Are these per license? Ex: If we have 2 Advanced Enterprise licenses, do we get 2 x 50 free named users? A1) Yes. In the case above, if you have 2 ArcGIS for Server Enterprise Advanced licenses, you will get 2 x 50 named users for use with Portal for ArcGIS. Q2) How about staging licenses? A2) FYI: ArcGIS for Server and Portal for ArcGIS are licensed differently. Server is licensed based on cores, while Portal is licensed based on # of named users. For Server, you would need to get a Server staging license. For Portal, it is permissible to duplicate the Named User set for the staging environment of the Portal. So you can set-up a "production" Portal and a separate "staging" Portal, as long as both Portals are using the same named users. Hope this helps

@Anthony: We do have a matrix in the help doc that lists what you can and can't do based on your role type in Portal. It can be found here: Managing access to your portal . Please look under the subsection titled: Understanding access privileges. As for a matrix that lists all the different apps as well ... good idea, we'll have to work on that. @Kreuzrsk: If you read the Pre-UC Q&A question that was referenced in Drew's post above, there was a note at the bottom of the answer: "NOTE: The License Entitlement description above is for non-ELA and non-Education program ArcGIS for Server Licenses. Hi Anthony, Good to hear from you! I hope all is well on your end and it sounds like you're working on an exciting project. As Drew indicated, at the Esri UC 2014, some key announcements were made regarding ArcGIS for Server licensing: - At 10.3, ArcGIS for Server Standard will include Portal for ArcGIS; - At 10.3, ArcGIS for Server users will get additional named users depending on their edition (Workgroup vs Enterprise) and level (Standard vs. Advanced). See the link in Drew's post for details. These are extra named users in addition to the named users that you get with the ArcGIS for Desktop entitlement (e.g., you get a named user for every license of ArcGIS for Desktop). As a general rule of thumb, Portal for ArcGIS items (e.g., web map, apps, web services, etc) that are shared with "everyone" can be accessed without a named user account. In your case, it sounds like you will be using enterprise logins for authentication, which means that any member of your Windows Active Directory or LDAP should be able to access and use these public Portal items. In the case of using the JavaScript application templates and the forthcoming Web AppBuilder (in Portal for ArcGIS 10.3), as long as the finished web apps are shared with "everyone", your end users will not need a named user account to access and work with them. With regards to Collector for ArcGIS, yes - a named user is required to login to work with Portal for ArcGIS. As for the Esri Maps for SharePoint web part: someone who is authoring the web part in SharePoint will need to be a named user, but a named user is not needed to access the finished SharePoint page (that the web part resides on). Hi Melissa, If you've configured the ArcGIS Administrator dialog to connect to your internal Portal for ArcGIS instance, ArcGIS Desktop should be able to connect to the Portal. There is nothing that I am aware of that would cause an issue. Please contact Esri Tech Support and open an incident so they can investigate further. Sorry.
