Hi All,
I'm having an issue accessing both the results of a survey and the survey itself. When trying to access the Analyze tab in Survey123 I receive the "Cannot get necessary XForms file for the survey" warning, and the Data tab fails to fully load (just has the loading symbol infinitely). Strangely, I can access the results through the link generated in the Collaborate tab.
The survey points to a specific layer on an AGOL map, with the records in the survey populating a related table. Existing records are displaying without issue.
When trying to access the form, Survey123 says I do not have the required access. The survey has been shared correctly. The template of the survey has been used countless times before without issue, so the XForm should not have changed aside from the URL to the feature service.
If anyone has experienced any issues like this would love to hear from you!
Did you (or anyone else) change the names of the files in Portal, or move the files in Portal from their default locations? If so, this is the easiest way to break S123 content.
Also, is the account you are trying to access this form with the same account that published/owns it? Just to eliminate any potential security issues.
Since existing records are visible in Collaborate but the form itself won’t load, the issue is most likely related to XForm access or permissions on the underlying service, rather than the data itself. The error "Cannot get necessary XForms file for the survey" typically means that Survey123 cannot retrieve the form definition (XForm). This often occurs if the feature service URL has changed, for example, if the survey was moved or copied and the new survey points to a different service. Even minor changes—such as updating the URL without re-publishing—can break the connection.
