Certain data fields not displaying for some viewers

Hello,

On one of my surveys I have a series of text fields that is being used to capture the names and contact information for participants in our data collection.  I am the author of the Survey123 Connect instrument.  I have shared the data/project with members of a group via the Collaborate/Viewer screen.  The group members can see most of the data fields but these contact info fields do not display for them.  The fields are not available for them in Data view - they are not on the list of fields to add.  On the Analyze page the data does not display but there are placeholder tables that have a message stating that the data is not available to view (I didn't note the exact text).  I can see all the data fields.

I even went so far as to change a coworker's Role to Administrator temporarily.  She still couldn't see those three fields.

Any ideas?

Hi Allen,

How did you share the survey, via the Survey123 website and Collaborate tab?

If so, can you try deleting the stakeholder and fieldworker views from the survey folder in AGO. Then go back to the Survey123 website and create them again by sharing your survey again? It sounds as if some of the fields are not added to the view.

Otherwise if you do not want to delete the views, you can try and edit them to add the missing fields.

Thanks Phil!!!  I will gives this a try.  Forgive me for my lack of knowledge of how the stakeholder and fieldworker views in AGO work - are these just views of the data and not the actual data files?  If so, where does the actual data reside?  And is this data structure documented anywhere?  I'm getting great use out of Survey123, but I'm often puzzled as to how it works and how I can trouble-shoot problems on my own (which I typically do for other Arc products and many other types of software).

Hi Allen,

The data is stored in a feature service, not the views. When you create a survey from Connect using a new template or from Web Designer the survey Form item and Feature Service will be created in a folder in AGO. If you from Connect your chose to create survey based on existing feature service or use the submission_url in the settings sheet, te existing festure service will be used and it will be located in the same folder it was originally created. Only the Form item will be created in the new folder that Connect creates.

If you want to see the data structure of the feature service you can open the feature service item in AGO and see the layer information, sharing, config, and if you have repeats in your survey, also the related layer and related table information. If you open the service url link for each layer you can view the settings of the layers/tables as well field types, lengths, aliases etc and also view the json format for extra information.

The views are therefore just a view of the feature service. The data is not in the views, just settings and configuration that contain information about what fields to display and who to share them with. The views are created by Survey123 automatically when you change the sharing settings on the Collaborate tab of the website.
