Tasks in Field Maps like in WorkForce

Hi everyone,

I'm struggling a bit and I hope you can help me. I will try to explain it as clear as possible.

I'm trying to create a map that can be used both for the dispatcher in the office as for the workers in the field.

 

This is what I need and what I have done so far:

- I have a main map with plots of lands, these can change every few months (plots can be bought or sold)

- On these plots multiple things can be done: they need to be checked, maintained, or stuff has to be created on them. Sometimes plots are physically checked first before it is clear if there is an action needed. Sometimes it's known beforehand (without a check) that an action is needed. So I have attached a task list to the plots.

The tasks lists contains out of multiple statuses:

  • No check/action needed (grey)
  • Unassigned (when there is aa check needed but it doesn't matter who does it) (yellow)
  • Assigned (specific person needs to do this check) (yellow)
  • Action needed (because when a check has been done, an action may follow) (red)
  • Completed (green)

These statuses are visible through symbol colour in the field)

The field workers have to fill in a survey123 when they pick up a task (because survey123 creates a point that will always exist even when a plot would get deleted in the future). When they have filled in the survey123 they have to manually press "action needed" (this will switch the status to "action needed") or "no action needed" (this will switch the status to completed) to update the task to the correct status.

 

My main question is, is this the handiest way to do it or am I making it too difficult for myself?

Also:

  • Is it smart to connect the tasks list to a layer with plots that change over time? I will have to add (append) plots in ArcGIS Pro. The reason I am worried is because sometimes plots will be sold, all the history of tasks will then also be deleted.
  • If i were to connect it to the survey points, what would be a smart way to do this? Because then i would have to put an "empty" point on the map to connect the task to, so the field workers will have to edit the point later to add their findings right?
  • How can I make an overview of tasks (active, inactive, completed etc.) for the dispatcher, just like in WorkForce?
  • The dispatcher also requested a way to add information to a task or a plot (a document or file) so the field workers can see it in the field, is this a thing that can be done? And will the file disappear when the task is completed?

Now that Tasks are integrated into Field Maps this might work better for you. The tasks and plots are completely separate items and Field Maps will present different workflows and attributes for both. The tasks are stored in their own feature layer so you can create maps and dashboards just for the task features that your dispatchers can work with.
