Will Removing or Renaming Users Impact Their Survey Data?

I have some members in my AGOL organization that I want to rename or remove, but they have submitted several Surveys via Survey123 as well as Assignments and data via Workforce.

If I rename the user, will it change the existing data or will the new name show only in the newly submitted stuff?

If I remove a user who has submitted data or been a mobile worker in a Workforce project, will their collected data disappear also?

Hi April

For Survey123 removing or renaming a user will have no impact on existing/previously submitted data. New data will contain the new name and existing data will contain the original name.

You are safe to make the update.

Thanks

John

What about if I remove the user from the organization? Will that impact any of their submitted survey data?

Hi April,

Removing users from an organization has no effect on the data submitted.

It doesn't sound like this is the case for you, but there can be impacts if you have other business processes that rely on editor tracking to limit which features a user can edit to only those they own; in that situation, you would need to temporarily disable editor tracking to 'reassign' the features (by updating the Editor field to the new user responsible for processing).

Hello April,

For Workforce, if you remove the user, none of the assignments created or edited by the user will be removed.  If you do not remove the user from the Workforce Project prior to removing them from the Organization, you'll be notified of this when you next open the Workforce Project (This is how Workforce in Online works and Workforce, 18.0.1 on Enterprise works)
