Results of deleted question no longer in sent folder

Hi Survey123 Users,

I have a form created in Survey123 Connect that is publicly shared and a number of Public Users (no login) are submitting data regularly.

I recently deleted a question and replaced it with an alternative question. I can see the results of the old question and the new question online but the users can no longer see the results of the old question, even on submissions they sent before the question was deleted - all they can see in their Sent folders is the new question with no response.

Is there anyway to keep all of the results visible in the Sent folder?

I tired leaving the old question in the form and making the appearance 'hidden' but that didn't work obviously!

Any information would be much appreciated.

Thanks,

Emma

Hey Emma, hope you're well.

Hmmm that's tricky, so you can still see the old answers in the online hosted feature layer, cuz they're still in the database. Still, public users cannot see the old answers in their Sent folders because the field app references the new form, which doesn't have the deleted question. I can't think of a way other than re-adding the question. Are you sure you added the same question with the exact name (case sensitive) and data type, and if it had a choice list, was it added? Maybe make the question also read-only? Sorry about this!

Hi @Leena_Abdulqader , thanks for your reply.

The new question is not the same as the old one, I had to change it as part of an update to the form. I had a feeling that the users wouldn't be able to access the results of the old question because as you say the field app is now referencing the new form but I wanted to double check with the community.

The users can request the data from us if needed. Thanks again for getting back to me.

Since the field is still in the feature layer table, You could add a (read-only) question referencing that field name back into your survey. If answers were populated, they should show up then.  However, from your description, it sounds like for it to work, users would have to update to the newest revision, and would have to pull the old forms from inbox and not the sentbox.

Hi @Neal-Kittelson,

Thanks for your response.

The read-only option could work also. @Leena_Abdulqader suggested this as well.

I thought this might be confusing to have the question still in the form but not editable. I decided to have the question hidden for the moment and depending on how many requests for information we get I will either delete the question or I will try putting it in as read only so previous results should be seen in the Sent folder.

Thank you both for your help with this, it's been much appreciated.
