Work with excel spreadsheet to Survey123

Hi everyone,

I am not sure if that is possible or not, but I would like to create a survey which allows to load an excel spreadsheet, edit it and reload the version saved on device to survey123.

We have to use a specific worksheet which contains 3 sheets. Normally we open Survey 123, enter our data, then open excel, enter data, close everything and move to the next location. It would be great if both could be linked.

The workflow you are describing is a bit unclear. However, if I am understanding it correctly, you currently have users entering data in Survey123 and then entering the same data in duplicate into an excel spreadsheet that follows some sort of template?

There is no way to natively integrate multi-worksheet excel file editing within Survey 123. However, it would be completely feasible to limit all of your data entry to Survey 123 then handle survey submission data through a webhook and write some python that would generate your templated excel files from the submitted data.

Is the excel sheet cloud-based, if it is, couldn't you just link the excel sheet in the form, allowing users to open directly from the form.

However I agree with what @AustinAverill describes, it would be much more user friendly. You could even just do a python script and task scheduler to do a daily export of the the survey123 data with the same effect.

Defiantly need a little more info here to help. Like, the data in Excel: It sounds like you want to pull that data back into S123, but it also sounds like you already entered that same data into S123. So I am unclear on the workflow here.

If you simply want S123 data to go into an Excel Spreadsheet, that in super easy and can be achieved with either Python (not my first choice) or automations (e.g., Power Automate - my go to solution).

I have an annual project for a client that requires data be entered into Excel for their deliverable. I use S123 to collect that data, and then have all submitted data entered into Excel. At the end of the season, that excel file is sent to the client.

Apologies if my post was confusing.

We have several team members collecting data in the field, using FieldMaps, Survey123 and QuickCapture. What I'm trying to do is avoiding them to look for an other app (Excel) and simplify the workflow. I would like a button in Survey123 which would open a Excel spreadsheet so the user can fill it up and save for each survey location. So yes as Neal mentioned, the idea is to link the excel sheet in the form, allowing users to open directly from the form.

Our current workflow is we open Excel, fill up the spreadsheet and save, then open Survey123, enter the additional data needed, and have a File Upload button to load the saved spreadsheet.

So you can't configure a button, but you can configure a note field with HTML to open url to an online excel sheet.

And Connect and presumably the field app can open a local file formatted like this:

Thank you Neal. This downloads the excel into my device and saves it there. It doesn't automatically upload it back to survey 123 so I can download the survey data and its associated spreadsheet

Host the excel on onedrive or googledrive and instead of downloading it, open and edit it in a broswer.

This seems like you are doubling up on work. If you don't have the infrastructure in place to use automations (e.g., Power Automate or Make), I guess you don't have many options. But I if you can, this is a good use-case for automations.

Basically, keep users in S123 and only enter data once. You can use pulldata(@layer) to grab extra info from a main layer. Then use an automation service to automatically enter data from S123 into the Excel file.

The data entered in Survey 123 and the data entered in Excel are different and complementary, so no double up. The Excel workbook is quite complex and Power Automate won't work there. But I will definitely use that for other surveys, thank you.

The note option seems like the best option here, however the survey we are looking into will be undertaken in remote area so won't have ability to download.
