Annotation exporting outside data frame V10

Running ArcGIS 10 SP2, when I export to PDF, annotation from a V9.3 file Geodatabase shows up in the margins of the map, outside of the data frame.

Using another pdf writer such as CutePDF or PDFDocs used to resolve this issue but since SP4 it is a problem again. Tried all of the solutions mentioned above and the only one to work was creating the doughnut around the data frame. Only problem was I had my co-ordinates outside my data frame which were blanked out. ESRI need to resolve this issue quickly. Mark

We are at ArcGIS 10, SP4 and this issue is still not fixed. Symbols from certain layers fall outside the data frame when exporting to PDF, either using ArcMap or PDFfill. Anno behaves correctly. It also does this when printing or exporting to JPG. All data is in ArcSDE at 10.

We have tried changing layer order, removing layers, recreating the MXD, using the data-driven pages clip option in Data Frame properties and all other sorts of options and nothing we did or things suggested above works. The misbehaving layer jumps to other layers when some layers were removed as a test, so it's not the data layer itself causing the issue.

We finally uninstalled the "upgrade" and reverted to 10 SP1, that works OK. ArcMap 10 SP 2, 3, and 4 all have this issue.

I reported this and was told that it's a new bug (overflow labels; overflow annotation was fixed in SP3). I used the tedious rectangle solution described by Austin.

By the way, if you rotate your data frame by about 14 degrees the problems goes away.

I have also encountered this problem in a new version 10 database.

Here is a very goofy solution:
In Layout view, create a graphic rectangle that goes out the edge of the page. (can use guides for this)
Create another rectangle the same size as the Data Frame, align to the data frame
Select rectangle 2, then rectangle 1, and choose Drawing --> Graphic Opperations --> Subtract. You will now have a square doughnut graphic that frames your Data Frame.
Send the new graphic to the back
Send the Data Frame to the back
Set the graphic to have the same border you want your Data Frame to have.
Now when you export, the square doughnut graphic will mask anything that hangs out of the Data Frame.

Thank you so much Austin.. it is a tedious way to tackle this problem to be sure, but it is a proven method and I thank you for taking the time to share!

Thanks for posting this solution, which partially solved the issue for me:

Go to data frame properies-->Data Frame tab---> Clip options---->clip to current data driven page extent

I'm working with a map that uses data driven pages, which makes this solution convenient, but instead of only showing the data frame up to the extent of the data driven page, I wish to show most of the layers in the map a little beyond the extent of the data driven page, in order to provide continuity between the maps. I used the "Exclude Layers" setting in the clip option to display only the layers that were absolutely necessary, eliminating any layers that were in the map strictly for labeling purposes. I did set exclusions for a handful of labeled layers that I wished to preserve beyond the bounds of the data driven pages & to my surprise, none of the labels for these excluded layers showed up outside of the data frame extent.

Perhaps this issue is related to the number of anno/labeled layers in a data frame? Another work-around that I did not need to resort to would be to make copies of each labeled layer, make the symbols invisible & leave the labeling on, while turning off the labeling in the original layer. Enabling the clipping for the labeled layers would take care of it, but fortunately I did not need to resort to that.

Thanks Jeremy- I'm not using data-driven pages but when using File > Export Map... There is an option at the bottom of the dialog called 'Clip Output to Graphics Extent'. Checking this seems to have the same effect and allows my annotation to output to .pdf.

One of the analysts in our group figured out how to get around this problem for us: Go to data frame properies-->Data Frame tab---> Clip options---->clip to current data driven page extent

Now all of our PDFs exported through the Python script are coming out correctly!

Having the same problem; labels are placed outside the maplayout ONLY for layers labeled with maplex's option "Never remove (allow overlap)" which is supposed to never remove labels within the map layout, but it should not place labels outside the layout. I wish this was fixed, instead of leaving us to find work-arounds.

I have encountered the same problem today. I was creating a series of maps using data driven pages and annotation. I have examples of annotation, point symbols and polylines all appearing outside of the data frame. Using 10.0 SP2 on Win XP 32 bit. Was not having the issue prior to using data-driven pages - although I am loathe to individually export each map from the series.

I shall try some of the workarounds tomorrow.

Has there been any update on this issue? We are running SP3 and having this exact same problem. We are using DDP and a Python script to export hundreds of grid maps to .PDF, and almost every single one of them has labels showing way outside the data frame (like even in the title and legend). It is extremely annoying.

Hello All,

I was having the probelm prior to installing sp3. Now the problem is resolved with sp3 for us here (running 3 machines on arcmap v10 sp3, windows 7 op and 64 bit).

Primo pdf may resove the issue....

I am running arc 10, SP3, and this issue is still a problem. I have multiple workstations in the network reporting the same issue. Only the machines with SP1 are not reporting this problem.

I'd never noticed this issue prior to loading SP3 last week but just exported 36 pages to PDF and just about every page had annotation and in some case point elements outside data frame. I just used CutePDF and it wasn't a problem.

Further to this issue the data driven set that I exported has data frames rotated to an angle from a field value but this wasn't an issue in the past. I haven't noticed any problems where there hasn't been a rotation but have yet to test with SP3.

Hello All,

I was experiencing the same issue.Some annotation layers (created in pre v10 gdb) were showing up outside the dataframe. I foud a possible work-around:

I just tried using print to pdf using Primo pdf to create the pdf and it has solved the problem for me.

(The polygon in the layout view polygon did not work for me as I wanted the grid associated with my data frame to show up and it was being masked by the dougnhut.)

Any word on when this bug will be fixed? It is affecting all of my DDP projects and regular map layouts.
I do have work-arounds for now but I can't very well go around to each of the users here and explain the extra work they need to do in order to get the functionality to work.

Our shop experienced the problem of labels (not annotation) showing up outside of the data frame after exporting. This is definitely a "high" severity problem -- we reverted back to pre-SP2 and will wait until a patch comes out before installing SP2 again.

I fixed it by creating a shapefile polygon of the extent of the data frame...
then I used it to select by location for my annotation. Once I had the annotation that was completely within the polygon, I right clicked on the annotation, select, then saved selected features as a layer file. I then turned off the original annotation, and used the selected annotation.

worked like a charm, but sure hope they fix this bug. this has cost me on a map publication time-line.

Thanks for the work-around - though goofy, it did the trick! I'd like to add that I've experienced this problem with layers that are shapefiles as well, though other geodatabase feature classes were also drawn into the map with labels turned on. Additionally, I've had both labels AND annotation draw outside the dataframe after exporting. Glad to see its been logged as a bug with severity "High". I hope a patch is released soon!

I just started noticing this very same issue for v.10 sp2. I'm sad that everyone else is having to deal with it, but kind of glad that I haven't gone crazy, that this is a known bug. I'll try some of the workarounds. I get it for both v.9.3 and v.10 gdb annotation.

I contacted ESRI Tech Support and here's thier response:

"I came across a known software defect with the issue. The reference for the software defect is as belows:

NIM067880 - Annotation features display outside of the data frame when exporting a map.

The status of the issue is "NEW" which mean that development team of ESRI will be reviewing the bug. I have added your issue to the software defect. "
