Built-in Survey123 email notification (to staff when survey submitted)

AGOL has built-in email notifications for failed pipeline jobs.

This idea is to expand that functionality to send staff an email when a new AGOL survey entry is submitted, so they can follow-up on the survey. This would be preferred over more fragile Power Automate integrations.

This is something that Esri’s competitors do well, such as IBM Maximo. Everyday, non-admin users can set up built-in, reliable email notifications with the click of a button. It’s wonderful. It would be great to do that in Survey123 too.

This would be an incredibly valuable enhancement!

In municipal government workflows, such as infrastructure planning and operations, timely awareness of new submissions is critical for coordinating follow ups and operational responses. Built in email notifications for new Survey123 submissions would improve reliability and reduce reliance on external tools that require ongoing maintenance. Having this functionality natively in Survey123 would make it easier for teams to respond quickly and confidently, and would be a meaningful improvement for MANY operational use cases.

Adding my backing to this idea. We've been using Power Automate/Flow to enable email notifications, and it is sooooo frustrating because of how fragile and cumbersome it is. We can't reuse a Survey123 Connection across flows, having to create a new connection for each, and have regular instances of flows failing despite no changes having been made, with new connections being the only way to fix it.

This is on top of having to use a dedicated service account as the send email (which we GIS people aren't allowed to manage meaning we need to get IT involved in any new flows).

A built in email notification with basic ITTT functionality based on values in the survey would be an immense improvement!

100% onboard with this.

I attempted to create a Flow in Power Automate this morning only to realise the Form is too big, just to send an email to the Submitter to confirm the Form has been sent with a link to the data. Completely wasted my time.

If you can build in an automatic email system based on a Yes / No Question our lives will become infinitely better!
