Hi all,
I’m working on a Power Automate flow triggered by Survey123 submissions to generate PDF reports, save them to OneDrive, and email the submitter. The workflow works perfectly initially, but I’ve hit a persistent issue with the Survey123 connector timing out after 14 days of inactivity, as noted in the post below and several other posts.
Apparent Connection Issues with Survey123 Connector in Power Automate
I have tried to establish a refreshed connection token using a single “get query” function to maintain the connection and prevent it from timing out every week. The workflow runs successfully but does not seem to resolve the issue with the reporting workflow.
I understand that one possible solution is to re-login to re-establish the connector or create a new connection manually. However, this is not ideal, especially since it would require re-logging twice a week while the account login itself expires every two weeks, which defeats the purpose of automating the workflow.
After some investigation, it seems that the newly released ArcGIS Connector, a premium connector, might address this issue. However, we currently do not have the premium Power Automate subscription, and the pricing is not cost-effective given that we generate only about 30 to 50 reports annually.
Is there an alternative workaround to solve the 14-day Survey123 connector timeout? Any suggestions would be greatly appreciated.
Survey123 connector timing out after 14 days of inactivity
Yep. That's the way it is. Gotta update every <14 days. No other suggestions, unfortunately (beyond set a reminder in your calendar).
Personally, I made a Power Automate flow and SharePoint integration for reminders, so I only get emails when I forget to update the connectors. Helps avoid any downtime, which in my case can be devastating. I get 400~800 submissions a day from all business lines.
