I asked the Support Chatbot a question regarding AGOL Roles and Privileges. I wanted to doublecheck what I had in mind and who better to ask than the one trained by Esri on Esri's superb documentation.

Question:
What is the most restrictive custom role that can be applied to an ArcGIS Online Creator user to allow them to export data to shapefiles? Please be specific about all the privileges that have to be applied.

Answer:

The most restrictive custom role that can be applied to an ArcGIS Online Creator user to allow them to export data to shapefiles requires the following specific privileges:

General Privileges:

  1. Use maps and apps: Enables the user to interact with maps and applications.
  2. Create content: Allows the user to create and manage their own content.
  3. Edit features: Grants the ability to edit data within feature layers.
  4. Export data: This is the critical privilege required for exporting data to shapefiles or other formats.

Additional Notes:

  • Ensure the user has access to the hosted feature layer they wish to export. This can be managed through proper sharing settings.
  • Avoid granting unnecessary privileges to maintain a restrictive role, such as administrative or advanced publishing privileges.

Steps to Create the Role:

  1. Go to Organization > Settings > Member Roles in ArcGIS Online.
  2. Click on Create Role and provide an appropriate name (e.g., "Data Exporter").
  3. Enable only the privileges mentioned above.
  4. Assign this custom role to the Creator user.

This setup ensures the user has the minimum necessary permissions to export data while maintaining a restrictive role.

Both ChatGPT and Perplexity managed better answers but YMMV.
