My colleague created a survey and shared it in a group for analyzis and collaboration. So far so good. The problem we have is is that the number of total records shown in the overview and analyze section is lower in group member profiles than in the profile of the survey owner. So the dataset displayed in group members profiles is different and got missing values.
Is it a bug or is there a workaround? To fully collaborate in a group/ project all group members should have access to the data records being collected.
Any help and comments highly appreciated
Thx
Christian
Hi Christian,
On the Collaborate tab, can you ensure that 'What data can viewers see?' is set to 'All records in this survey':
Hi James,
many thanks for your feedback. The attributes of our survey colaboration are set to the preferences you adviced.
The thing is that the data that has been submitted doesn't show up, update or synchronize on all accounts simultaneously (survey owner vs survey/group members) . We did some tests and ended up with the same problem every time. Total records shown on the survey owner's account were higher than shown on other survey/group members accounts (screenshot). We had this problem with several surveys.
In one case the survey owner's account credentials had to be shared to other group members so that other people had access to the latest status of the survey.
We plan to realize an external project with survey123 but won't be able to implement it as a reliable solution as long as the problem described above exists.
Not sure if anybody else has similar problems. Is there a delay on data updating?
Any help to solve this matter is highly appreciated
Best regards
Christian
A second screenshot showing problems with updating total numbers of datasets
After using another browser the section "surveys submitted" shows up and the number of total participants is displayed. The count of total records is still wrong.
Hi Christian,
We are investigating this issue with the ArcGIS Online team; this looks similar to a caching issue we have had reported with feature layer views.
Hi Christian,
Can you please confirm if it's only the records count is not incorrect but the users other than the owner can still see all the actual records in the Data or Analyze tab? For example, if you sign in Survey123 website as a stakeholder in the group for analysis, in the Data tab, can you see all expected records in the feature table or all records in any chart of the Analyze tab regardless the total number? We have a known caching issue with ArcGIS Online as mentioned by James, but if this is not your case, we would like to know more about the details of your situation.
Thanks,
Zhifang
Hi Zhifang,
we created a quick survey and attached the results of the tab contents. As one can see the results available for display and analyssis differ. The upper half of the screnshot shows the survey owner's pages, the lower half is of my colleague's. No data has been collected after my colleague did take the screenshots, so the results of both accounts should be the same. If you need any more info please let me know.
Best r egards

Hi Christian,
Thank you for the test and the above information.
From the current screenshots, seems it's not the cache issue I mentioned above since in the chart of the Analyze page, your colleague's account (other than the owner) still cannot see all records regardless the count in the lower right corner.
Also by looking into the screenshots, seems the records your colleague's account can see just equals the records count submitted by anonymous users show in the Overview page (first screenshot). Would you mind trying to submit two more records, one by the owner (need logged in) one by an anonymous user? Then observe how many or what records can your colleague's account see in the Analyze/Data page. If the new added record submitted by the anonymous user can be observed but the owner's one cannot, seems you need to check the option in Collaborate->Viewer tab to ensure "All records in this survey" is checked under "What data can viewers see?".
Hi Zhifang,
thanks for the instructions. There is some news from our side as we did some further testing.
We added some owner's and anonymous points and checked what records are displayed on wich account. My colleague could see all records that were collected the first time she logged in. All records collected after the log-in (anonymous and owner records) didn't show up, even after log-out and log-in again, clearing browser cache and using a different browser (the option "Collaborate->Viewer tab to ensure "All records in this survey" is checked under "What data can viewers see?" is enabled at all times).
It seems like there is a problem with the update routine of survey data across the accounts.
Our partner organisation, that uses Survey123, has got the same problem.
Concerning the loading error: it doesn't occur anymore.
Best regards
