My question type in survey 123 is wrong

I am using the "note" question in survey 123 connect and I just found out that it will not do what I need.

This is my question that I have built in the XLSForm

Compliant or Not Compliant will not show up in my data export into excel.

this is what shows up in the excel.

How can I get either Compliant or Not Compliant to be marked in excel? I am wanting to use this a lot in the survey to make collection quick and to show is something right or not.

The Note type is not a pick list, or choice, it is for entering free text.

Are you sure you need to use XLSForms, you can do an awful lot without having to get into the desktop app.

Hope this helps you out. Sometimes going through the training is a lot faster than having to ask questions one by one. If you did these training resources already I apologize, but it sounds like maybe you haven't.

@BillBlythe you could also put a calculation in a secondary text entry field named something like "Compliance" or "Compliance Status," as shown in the images attached below. You could even make this read only or hidden when it populates Compliance/Not Compliant based on the first yes/no answer.

I'm not sure exactly what you are trying to do as I have not ever exported anything to Excel, but I have auto-populated a field based on a previous selection using the if statement. My question for you is, how are you determining what is compliant and what is not compliant? Whether it has a clear space overlap? If so, then you might try an "if" statement in the calculate field in combination with your note.

if(selected(${clearspaceselected},'yes'),'Not_compliant','Compliant')

In this example, if overlap is selected as yes, then it will give the calculate expression "not complaint", otherwise if it's no, it will return "compliant". You were on the right track with note, but I think you needed the if statement as well in order to return the value you need in an excel export.

Again, I'm flying blind here, but you might try it to see if it does what you need. I used it to populate a serial number if a particular unit that was selected. There are only two units, so it worked for me, I'm not sure what I would have done if there had been more choices...

I don't think you need the second part of this. It's an "if/else" calculation. The first part is "if this,this, else that. So in instance below, 'Not_compliant' is what would be chosen if yes is selected, 'Compiant' is what would be selected if the answer is no is selected.

Try checking the case sensitivity of your 'Yes' and 'No.' I think these should match between the Choices sheet and the Calculation in your Survey sheet.

I had changed mine from the default lowercase 'yes' and 'no' under the choices sheet, so you may either have to change them there or in your calculation cell such that they match.

@BillBlythe, the if expressions vary slightly in how they print a result in the secondary "Compliance Status" text field if the user skips or leaves blank the initial select_one yes_no question.

Using the following expression from @AllisonHollier, the secondary "Compliance Status" text field will be populated with 'Compliant' even if the initial select_one yes_no question is left blank.

if(selected(${ClearSpaceOverlap},'yes'),'Not Compliant','Compliant'))

Using the following "nested if" expression, the Compliance text field remains empty (see ending else argument of '' empty single quote) if the user doesn't select either 'yes' or 'no' for the first question (skips or leaves it blank).

if(selected(${ClearSpaceOverlap},'yes'),'Not Compliant',if(selected(${ClearSpaceOverlap},'no'),'Compliant',"))

So you have a couple options there for choosing how the Compliance Status field is treated.

This is so close, it works for yes and I do get compliant, but when I hit no, nothing comes up.

So close here and I get the feeling it is something small.

And did you see @ThomasHamill 's post? You might need to do the nested select option if you want to make sure it doesn't default to the second option if nothing is selected.

Ding ding. I bet that's it! It's only going to use that question if the answer is yes. Take it out and see. Bet it works!

But you probably need to do the nested repeats anyway, to ensure a null value doesn't screw it up. Otherwise, you could just keep it simple and make the yes/no question a required answer so that it has to be either yes or no and no nulls allowed.

If I leave the relevant blank then it works for yes - compliant, otherwise it says Not Compliant. Is says Not Compliant until I hit "yes" then it changes.

Should it be that way and is it ok to not have anything in the relevant box?

I have typed this in and keep getting an error. I am so sorry to keep bugging you, but what you did would be great and I just need to be able to get it.

Allison gave a great way, but when I do this to another yes/no question I get a problem because it shows a not compliant box where there is no question. The question is based on a question above.

This works, it just gives me a "Not Compliant" all the time until I hit "yes" that makes it Compliant.

I do not know if this helps. I am using what you sent and it is working, but when I hit "no" other Not Compliant comes up because the question is not being answered. To show this it will be pic 3.

@BillBlythe, try using the following expression in the Calculation column for the text field you named Compliancebcp:

if(selected(${ClearSpaceOverlap},'yes'),'Not Compliant',if(selected(${ClearSpaceOverlap},'no'),'Compliant',"))

This way, the Compliancebcp text field will remain empty if the user doesn't select either 'yes' or 'no.' In other words, if the user skips the first question about the ClearSpaceOverlap or leaves it blank, the compliance status indicator will show neither "Compliant" nor "Not Compliant," but will remain blank.

I don't think you need anything in the relevant box for Compliancebcp, unless you want this question to appear only for a "yes" answer of ClearSpaceProvided.

Is that how you wanted it to be configured?
